These Terms and Conditions ("Terms") govern your use of the Harbor Ledger Field website and the photography services we provide. By accessing our website or booking our services, you agree to be bound by these Terms.

2. Acceptance of Terms

By accessing our website, contacting us for services, or entering into a photography contract with Harbor Ledger Field, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions, along with our Privacy Policy and Refund Policy.

3. Services Provided

Harbor Ledger Field offers professional photography services including but not limited to:

• Wedding Photography
• Portrait Sessions
• Event Coverage
• Family Photography
• Commercial Photography

Specific service details, deliverables, and pricing will be outlined in individual service contracts or booking agreements.

4. Booking and Reservations

4.1 Booking Process

To book our services, clients must:

1. Submit an inquiry through our website or contact us directly
2. Discuss requirements and receive a customized quote
3. Sign a service contract outlining specific details
4. Pay the required deposit to secure the booking date

4.2 Deposit Requirements

A non-refundable deposit is required to secure your booking date:

• Wedding Photography: 30% of total package price
• Portrait & Family Sessions: £100 or 25% of package price (whichever is greater)
• Event Coverage: 25% of total package price

4.3 Date Reservation

Your booking date is reserved only upon receipt of the signed contract and deposit payment. We operate on a first-come, first-served basis and cannot hold dates without confirmation.

5. Payment Terms

5.1 Payment Schedule

• Deposit: Due at time of booking
• Final Balance: Due 14 days before the scheduled session/event date
• Late payments may result in cancellation of services

5.2 Accepted Payment Methods

We accept the following payment methods:

• Bank transfer
• Credit/Debit cards
• PayPal
• Other methods as agreed in writing

5.3 Late Payments

If final payment is not received by the due date, we reserve the right to:

• Cancel the booking with forfeiture of deposit
• Charge late payment fees of £25 per week
• Withhold delivery of images until payment is received

6. Cancellations and Rescheduling

6.1 Client Cancellations

Cancellation terms are as follows:

• More than 90 days before event: Deposit refunded minus £100 administrative fee
• 60-90 days before event: 50% of deposit refunded
• 30-59 days before event: 25% of deposit refunded
• Less than 30 days before event: No refund; full payment due

6.2 Rescheduling

Clients may reschedule once without penalty if:

• Notice is provided at least 30 days in advance
• The new date is within 12 months of the original date
• The new date is available in our schedule

Additional rescheduling requests may incur a £50 administrative fee.

6.3 Photographer Cancellation

In the unlikely event we must cancel your booking, we will:

• Provide immediate notice and full refund of all payments
• Attempt to provide a qualified substitute photographer
• Not be liable for consequential damages beyond refund amount

7. Photography Session Conduct

7.1 Client Responsibilities

Clients agree to:

• Arrive punctually for scheduled sessions
• Provide accurate location and timing information
• Ensure appropriate permissions for photography locations
• Cooperate with photographer's directions and requests
• Refrain from excessive alcohol consumption affecting session quality

7.2 Weather and Location Issues

• For outdoor sessions, we will discuss weather contingency plans in advance
• Light rain or overcast conditions do not constitute grounds for rescheduling
• Severe weather may require rescheduling at no additional charge
• Location access issues are client's responsibility

7.3 Session Duration

Photography sessions have specified time allocations as outlined in service contracts. Extensions beyond contracted hours may be available at additional hourly rates, subject to photographer availability.

8. Image Delivery and Usage Rights

8.1 Delivery Timeline

• Wedding Photography: 4-6 weeks from event date
• Portrait/Family Sessions: 2-3 weeks from session date
• Event Coverage: 3-4 weeks from event date
• Sneak peek images (if applicable): 48-72 hours

8.2 Image Quantity

Delivered image quantities vary by package but typically include:

• Wedding Photography: 400-800 fully edited images
• Portrait Sessions: 30-60 edited images per hour
• Event Coverage: 50-100 edited images per hour

8.3 Copyright and Ownership

Clients receive personal usage rights to:

• Display images on personal social media
• Create personal prints for home display
• Share with family and friends for personal use

Clients may NOT:

• Use images for commercial purposes without written permission
• Sell or license images to third parties
• Alter images beyond basic cropping without permission
• Remove watermarks or copyright information
• Claim images as their own work

8.4 Photographer's Portfolio Rights

Harbor Ledger Field reserves the right to use selected images for:

• Portfolio display on website and marketing materials
• Social media promotion and advertising
• Photography competitions and publications
• Sample work for prospective clients

Clients may opt-out of marketing usage by written request, though this may affect package pricing.

9. Editing and Retouching

9.1 Standard Editing

All delivered images include standard editing:

• Color correction and white balance adjustment
• Exposure optimization
• Cropping and straightening
• Basic blemish removal
• Consistent artistic styling

9.2 Additional Retouching

Advanced retouching services are available at additional cost, including:

• Extensive blemish and wrinkle removal
• Body contouring
• Background replacement
• Object removal
• Composite images

9.3 Editing Style

Our editing style is consistent with portfolio examples shown. We do not provide unedited RAW files or alternative editing styles beyond our established aesthetic.

10. Liability and Limitations

10.1 Limitation of Liability

Harbor Ledger Field' liability is limited to the total amount paid for services. We are not liable for:

• Indirect, consequential, or special damages
• Lost profits or business opportunities
• Emotional distress claims
• Third-party claims

10.2 Equipment Failure

While we maintain backup equipment, in the unlikely event of total equipment failure:

• Liability is limited to full refund of amounts paid
• We are not responsible for event costs or other losses
• We maintain professional liability insurance

10.3 Missed Shots

We make every reasonable effort to capture all important moments. However:

• We cannot guarantee every specific moment will be captured
• Shot lists are goals, not guarantees
• Timing delays or venue restrictions may affect coverage

10.4 Venue Restrictions

Some venues impose photography restrictions. Clients are responsible for:

• Informing us of any known restrictions in advance
• Obtaining necessary permissions
• Understanding that restrictions may limit coverage

11. Force Majeure

Neither party is liable for failure to perform due to circumstances beyond reasonable control, including:

• Natural disasters
• Severe weather emergencies
• Government restrictions or emergencies
• Serious illness or injury
• Transportation failures

In such cases, we will work with clients to reschedule or provide appropriate refunds.

12. Model Release

By booking our services, clients grant Harbor Ledger Field permission to photograph them and use resulting images as outlined in Section 8.4, unless they specifically opt-out in writing.

13. Complaints and Disputes

13.1 Complaint Process

If you are dissatisfied with our services:

1. Contact us within 14 days of image delivery
2. Provide specific details of concerns
3. Allow us reasonable opportunity to address issues

13.2 Resolution

We will make reasonable efforts to resolve complaints, which may include:

• Additional editing of specific images
• Partial refunds for significant quality issues
• Complementary future session credits

13.3 Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Data Protection and Privacy

Your personal information is handled in accordance with our Privacy Policy and applicable data protection laws including GDPR. By using our services, you consent to data collection and processing as described in our Privacy Policy.

15. Website Use

15.1 Acceptable Use

When using our website, you agree not to:

• Copy, reproduce, or distribute our content without permission
• Use automated systems to access or scrape the website
• Attempt to gain unauthorized access to systems
• Upload malicious code or viruses
• Impersonate Harbor Ledger Field or our staff

15.2 Intellectual Property

All website content, including text, images, logos, and design, is owned by Harbor Ledger Field and protected by copyright law. Unauthorized use is prohibited.

16. Third-Party Services

We may recommend or coordinate with third-party vendors (venues, planners, etc.). We are not responsible for third-party services, products, or actions.

We reserve the right to modify these Terms at any time. Changes will be posted on our website with an updated "Last Updated" date. Continued use of our services constitutes acceptance of modified Terms.

Existing contracts are governed by the Terms in effect at the time of booking, unless both parties agree to amendments in writing.

18. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full force and effect.

19. Entire Agreement

These Terms, together with our Privacy Policy, Refund Policy, and any signed service contract, constitute the entire agreement between you and Harbor Ledger Field regarding our services.
